Summary:
The operations administrative assistant performs administrative duties for the director of collections and his/her organizational unit with the ability to work well with all levels of internal management and staff, as well as outside clients and vendors.
The operations administrative assistant reports to the director of operations and supports management staff with limited support to collectors.
ESSENTIAL JOB FUNCTIONS:
1. Reporting
Reporting performance metrics to the director of collections and management staff
Use of Information Studios, Reporter and MS Excel for creation of daily pipeline, due diligence, phone and other essential reports as needed
Creation and maintenance of monthly reports
2. Setup and breakdown of new hires and employees NLE in the following tracking systems:
Goal Matrix
Collection Team Breakdown
Disciplinary Tracking
Reporter
Goal Tracking
Report Cards & Report Card Tracking
Electronic and paper files
3. Human Resources support
Entering collector's mispunches and adjusting time as necessary
Entering time-off requests
Weekly reporting mispunch count
Projects as assigned by the director of operations and management staff
OTHER JOB FUNCTIONS:
1. Perform other clerical duties such as filing, copying etc.
2. Covering the reception area as needed
DECISION MAKING AUTHORITY:
The position is responsible for day-to-day decision making under the scope of the position's stated responsibilities without requiring senior management or director level review or approval (unless extreme or unusual circumstances arise). This also includes operational decisions, tactical decisions to resolve issues and problems.
EDUCATION AND
Experience:
High school education or GED equivalent required. One-plus years experience in administrative role preferred.
MUST HAVE:
Three months
related office administration or administrative assistant experience
Excellent oral, written and interpersonal communication skills
Strong working knowledge of, Excel, Word, Outlook, Internet programs
Analytical, teamwork, organization and time management skills are critical. Must be focused, energetic, meet commitments, and be willing to take ownership, have excellent judgment and integrity
OTHER SKILLS, KNOWLEDGE AND ABILITIES:
Experience working with DAKCS/E-Collections Software, Ultimate time software, Information Studio and Reporter
Must possess ability to manage multiple projects and priorities in order to accomplish department goals and business objectives - multitasking
Exceptional organizational skills
Excellent presentation and interpersonal communication skills, both written and verbal
A highly motivated self-starter, the applicant must have the ability and willingness to work independently and flexibly, under pressure and be able to meet deadlines without prompting
A team player who understands how to build consensus and who has the ability to motivate and manage others, and ensure assigned tasks and deliverables are being accomplished, reported and completed

### Is Being a Collector Right for Me?
If you have the right skill set, attitude, and willingness to learn, you can do very well in collections. Below are some of the common, day-to-day tasks expected of all Windham collectors.
Placing outbound calls to debtors to negotiate payment
Receiving inbound calls from debtors
Skip tracing (searching for debtor contact information) using various online tools and databases
Following up with debtors on previous collection activities

All new collectors are trained to understand Windham's collection system, the client's collection system, and all client specifics (including repayment arrangements, rehabilitation, consolidation, compromise, administrative resolution, and administrative wage garnishment procedures). The program incorporates a variety of delivery techniques, including oral presentation and instruction, workbooks and training material, group discussions, self-study, role playing, training games, shadowing, reviews (written and verbal), testing, and performance-based assessments.
