Service Representative - Triage and Dispatch Specialist Job Overview:
We are seeking a highly skilled and detail-oriented Service Representative to join our team.
The primary responsibility of this role is to triage incoming phone calls and efficiently dispatch service companies to resolve customer issues.
The ideal candidate will have a mechanical background and possess excellent communication and problem-solving skills.
As a Service Representative, you will play a crucial role in ensuring prompt and effective service delivery to our valued customers.
This is a Monday thru Friday, 8:
00AM to 5:
00 PM.
Responsibilities:
Phone Triage:
Answer incoming calls from customers and promptly assess their service needs.
Listen attentively to customer inquiries, complaints, or issues, and provide empathetic and professional responses.
Gather relevant information from customers to accurately assess the urgency and nature of the service request.
Utilize knowledge of mechanical systems and troubleshooting techniques to diagnose problems based on customer descriptions.
Dispatch and Coordination:
Coordinate with a network of service companies and technicians to schedule and dispatch them to customer locations.
Evaluate service requests based on urgency, available resources, and customer priorities.
Assign appropriate service companies or technicians based on their expertise, location, and workload.
Communicate all relevant details, such as customer contact information, issue description, and scheduling information, to the assigned service company.
Documentation and Reporting:
Maintain accurate and up-to-date records of customer interactions, service requests, and dispatched service companies.
Generate and distribute reports on call volumes, response times, and service company performance as required.
Identify recurring issues or trends based on customer feedback and communicate them to the appropriate teams for further analysis and resolution.
Customer Service:
Provide exceptional customer service by ensuring timely response and resolution of customer inquiries and issues.
Proactively follow up with customers to confirm service completion and satisfaction.
Escalate unresolved or complex issues to the appropriate department or management for further assistance.
Requirements:
High school diploma or equivalent; additional technical education or certification in a mechanical field is preferred.
Strong mechanical aptitude and understanding of mechanical systems, preferably through formal training or hands-on experience.
Excellent verbal and written communication skills with a professional and friendly telephone manner.
Ability to actively listen, ask relevant questions, and quickly analyze information to determine appropriate actions.
Exceptional organizational skills and ability to multitask in a fast-paced environment.
Proficient in using computer systems and software for data entry, documentation, and basic reporting.

The salary range for the Service Representative - Triage and Dispatch Specialist position is $47,000 to $53,000 per year, depending on qualifications and experience.
